Hours per week: 30 hours/week; 8 am-2 pm PT Monday -Friday

ABOUT THE JOB:

The Administrative Assistant role is primarily (80%) work-from-home, except (20%) when Golden Kite Awards and other awards and grants logging, mailing, and sorting are needed at the Los Angeles office and when attending the New York Conference (at the discretion of SCBWI leadership). Duties include:


JOB REQUIREMENTS:

Managing payment processes: For conferences, membership trials, and event registrations, manage and document refunds and cancellations or provide receipts for previous payments via authorize.net and PayPal.

Member communications: Answer emails and calls via ZenDesk help center with

assistance and support from the part-time member communications persons. Managing monthly communications and website content via Constant Contact.

Conference support: Attend the annual winter conference in New York City to provide team support at the discretion of the SCBWI leadership team. 

Logistics and mailing: Mail books to award judges, send awards to winners, sort

mail, and office storage organization.

Meeting coordination/note-taking: Plan and schedule office meetings in person and on Zoom; provide notes after meetings.

Assisting with website/content updates: Make changes to the website content when needed including drafting copy or updating outdated information

Proofreading: Proofread all member communications, website content, and publications.

Golden Kite Award Assistance: Log book submissions in the database, communicate with publicists and authors, check the database to ensure all authors are SCBWI members, and assist with award mailing and logistics. Assist Golden Kite Award coordinator when needed.

General Support: Assist SCBWI team members where needed.


REQUIRED QUALIFICATIONS:

  • Associate or Bachelor Degree
  • Two years minimum paid work experience
  • Organized, reliable self-starter
  • Team-oriented outlook
  • Interest in children’s books
  • Experience with website data entry; comfort in working on a website backend
  • Aligned with SCBWI’s mission, vision, and values
  • Flexible and adaptive to change


SKILLS:

  • Computer literate on Mac and PC
  • Experience with Microsoft Office and Slack (or similar team communication software), Asana (or facility to learn), Google Drive, Zoom
  • Customer service oriented 
  • Research skills 
  • Business writing (web content, member communications)


DESIRABLE QUALIFICATIONS:

  • Adobe Creative Suite
  • Bilingual Spanish
  • Social media skills
  • Video editing
