Event Policy

Age 18 and over only

SCBWI has a strict policy that only those 18 and older may be premium members or preview users. SCBWI does not offer memberships to children or teens. SCBWI has a strict policy that a person must be 18 years of age or older to attend any SCBWI event, whether the event is in-person or virtual.


Volunteers

Every SCBWI volunteer at any level must be an SCBWI member and a legal resident of the region. No volunteer may be an agent, editor, or publisher of books for young readers or owner/employee of any other business that SCBWI headquarters considers a conflict of interest. Exceptions to any of these stipulations are rare, and will be considered by the Director of Regional Team Management and SCBWI Headquarters Executive Committee on a case-by-case basis. 


Refund  Policy

SCBWI is a 501 (c)(3) non-profit organization. SCBWI Regions are managed by unpaid volunteers. Region funds support programs that benefit SCBWI members.

As part of the event planning process, Regional Advisors must sign contracts with venues, speakers, critiquers, vendors, and others who will be providing services during a regional activity. Registration fees collected for an event must cover the cost of these contracts; therefore, refunds are the exception rather than the rule. In the rare case a refund is granted, it will always be less any credit card processing fees and any other processing expenses.

Requests to refund registration fees for in-person activities will be decided on a case-by-case basis, except for events that have specific refund policies. When an event has its own refund policy, it will be clearly stated on the event information page. By registering for an event, you acknowledge that you have read and accept the event’s refund policy. 

Because fees paid to professionals for manuscript critiques, portfolio reviews, intensive programming, mentorships, pitch evaluations, and other exclusive offerings are contracted in advance, these fees cannot be refunded.

By signing up for this event, I acknowledge that audio taping, videotaping, and/or transmitting or aiding in any of the foregoing of any part of the conference (including, but not limited to, presentations, individual sessions, and networking events) is prohibited. Additionally, the material in all handouts and presentations is copyrighted and may not be reprinted, blogged, written, orally transmitted, and/or reproduced without written permission of the copyright holder only.


Weapons Policy

It is the policy of SCBWI to maintain a safe environment. To that end, SCBWI maintains a firearms- and weapons-free environment at all events and prohibits the possession of firearms and weapons regardless of any license or permit that an individual may have which would otherwise authorize the individual to carry firearms or weapons. Weapons are defined as anything intended to cause harm to another person.
