Policies

By registering for this retreat, you confirm that you have read and agree to the following policies.

CANCELLATION POLICY

All refunds subject to a 3% processing fee. 100% refund for registration and lodging fees through June 30th. Critique/review meetings and intensives will be refunded if we are able to resell your space. Beginning July 1st, a refund on registration and lodging will be offered only if we are able to resell your space. If one roommate from a Double Occupancy room cancels, the remaining roommate will be charged the Single Occupancy rate, unless they are able to find another roommate.

PORTFOLIO SHOWCASE POLICY

By signing up to participate in the Portfolio Showcase, I agree that the submission of the portfolio is solely my responsibility and I hereby assume all risk of loss, theft, damage, destruction, delay and misdirection. I hereby represent and warrant that I am the sole owner of the portfolio and all copyrights therein and the portfolio does not infringe upon the rights of any third party or entity.

DOUBLE OCCUPANCY

SCBWI does not assign or connect roommates. Both roommates sharing a room must register individually and select the Double Occupancy ticket. If adding Thursday night to your reservation, you must select whether you will have Single or Double Occupancy for Thursday night. For example, you may wish to arrive on Thursday but your roommate won't arrive until Friday. In the event your roommate cancels, you will be charged the Single Occupancy rate for the room unless you find another attendee to fill that spot. When registering under Double Occupancy, submit your roommate's name to Erica Wood, [email protected].

DIETARY RESTRICTIONS POLICY

Dogwood cannot guarantee accommodations for dietary restrictions. Meals are selected a la carte during registration and menus for the event can be viewed on the Venue page. Friday and Saturday dinners are catered and included with registration. Each guest room is equipped with a mini-fridge, and each common room is equipped with a larger fridge, microwave, and K-cup machine. Guests are welcome to bring their own food with them to meal times in the dining room. However, the Dogwood kitchen facilities and staff are not available to prep/heat/store/etc. individual guest food items.

ALL SCBWI POLICIES including, but not limited to

• COVID POLICY - attendees agree not to attend events if exhibiting symptoms
• WEAPONS - SCBWI events as well as Dogwood are weapons-free environments 
• AGE POLICY - attendees must be 18 years of age or older to attend SCBWI events
• NON-DESCRIMINATION/ANTI-HARASSMENT POLICY
• PROPRIETARY CONTENT POLICY - attendees may not record/distribute event content

DOGWOOD POLICIES

Dogwood prohibits the following: use of illegal substances, pets (service animals excepting), use of personal electrical appliances (i.e. crockpot, griddle, etc), tobacco usage beyond the outdoor designated area. Guest rooms must be left in the condition they were found. Attendees will be charged for any damage sustained by venue property, missing keys, or late check-out.

ENJOYMENT

Fun on this retreat is compulsory. Any attendees discovered not having fun shall be turned into a newt. (You’ll get better.)
